The Finance and Administration Coordinator will be responsible for overseeing the financial and administrative functions of MFC, which consists of two entities: Foundation and Company (limited liability), ensuring efficient and effective cooperation with outsourced accounting and payroll services, compliance with financial and legal regulations, developing and monitoring of organization’s budget, projects’ budgeting and reporting to external partners, management of resources and MFC office, and support for the organization's strategic goals.
Financial Management:
o Oversee the general budgeting process, including planning, forecasting, and monitoring financial performance.
o Collaborate with auditors and banks serving the Foundation and the company.
o Manage the Group annual audit
o Manage grant financial reporting, and invoicing.
o Ensure compliance with financial regulations and internal policies.
o Prepare and present financial reports to the management team and the Council.
o Coordinate communication between MFC and external accounting and payroll services.
o Prepare and execute payment orders – domestic and international.
o Issue invoices and handle settlements between the Foundation and the company.
o Monitor liquidity and manage financial discrepancies.
o Prepare statutory reporting

- o Maintain and update administrative policies and procedures.
o Coordinate office management activities, including procurement and maintenance of office supplies, equipment and software.
o Prepare and implement employee contracts and amendments in collaboration with legal advisors.
o Manage MFC mailing and cleaning services
o Handle correspondence with contractors, tax offices, and social security institutions.

- o Maintain and update administrative policies and procedures.
Projects support
- o Assist in the preparation of project budgets and financial reports.
o Monitor project expenditures and ensure alignment with approved budgets.
o Prepare projects’ financial reports.
o Manage projects’ audits.
o Provide support and guidance to team members on financial and administrative matters.
o Onboard new employees and manage employees exits
o Foster a positive and collaborative work environment.

Qualifications:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
- At least 5 years of experience in financial management and administration.
- Strong knowledge of financial regulations, accounting principles, tax and social security regulations.
- Experience in financial management and reporting of EU co-financed grants.
- Experience in preparing budgets for donor funded projects
- Experience in financial auditing, consolidated financial statements audit will be an advantage.
- Fluency in English and Polish.
- Experience in non-profit organizations.
- Excellent organizational and time management skills.
- Proficiency in financial software and Microsoft Office Suite.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
Work conditions:
Full time with flexible working hours between 7 am and 7 pm; home office with one day in the office (although office available all days).
