Purpose of the role

TechSoup is currently looking for a Project Manager who would like to join our Warsaw office team and support CSO members and activists navigating the complex challenges of today’s world.

We’re looking for someone who is not only passionate about social impact but also curious about the evolving role of AI in civic space and eager to work on solutions that harness the power of technology for good. The Project Manager will play the lead role in all stages of the project lifecycle, from initial set-up and planning, through implementation, to the closure phase.

Your duties and responsibilities 

·       Managing the entire project lifecycle through setup, planning, implementation and closure phase.

·       Developing a detailed project implementation plan and timelines and updating them on an ongoing basis.

·       Tracking milestones and deliverables; collecting and organizing all project outputs; ensuring quantitative and qualitative control, as well as compliance with internal procedures and donor requirements.

·       Monitoring project activities, outputs, deliverables and progress towards anticipated results; working with data platforms and databases to support evidence-based evaluation.

·       Coordinating work across Digital Activism Program Team members by ensuring transparency, facilitating communication and collaboration, overseeing Team performance, verifying quality, and providing ongoing support and guidance.

·       Facilitating online and onsite meetings.

·       Communicating with and coordinating Partners and service providers.

·       Managing risk and issues occurring in the project.

·       Close collaboration on budget planning and execution with Program Execution Manager and Grant Operations Portfolio Manager. 

·       Preparing narrative reports in close collaboration with the Program Team and Partners.

·       Preparing and maintaining contracts with Partners and contractors.

·       Developing and maintaining all formal project documentation in compliance with donor requirements and internal policies and procedures.

Skills you'll need to accomplish your duties:

  • Graduate degree in related field (e.g. social sciences, project management, development studies) or equivalent experience.  
  • 3+ years' experience with projects management with a proven delivery record and working with multiple stakeholders on an international level. 
  • Experience in the civil society sector.
  • Experience in the management of complex project budgets.
  • Proficiency in MS Office: Word, Excel, PowerPoint. 
  • Knowledge in the area of monitoring and evaluation processes and tools, including setting KPIs, data collection, and reporting for donor compliance.
  • Strong analytical with excellent numeracy, written and verbal skills.

·       Ability to work independently, as well as manage multiple projects simultaneously with strong project management skills, with particular attention to detail.

  • Excellent organizational skills and ability to adapt well to change.
  • Highly effective communication skills, especially in an international team.
  • Optimistic and growth mindset.
  • Proficiency in English (spoken and written) is a must.

Skills which will be a plus:

  • Proficiency in additional languages like Spanish, Polish or French.
  • Experience in managing larger projects with budgets above 500 thousand Euro, including EU funds and US federal grants.
  • Basic understanding of AI tools and their civic implications.
  • Knowledge of Project Management tools like Asana.
  • Familiarity with agile or adaptive project management methodologies.
