Doctors Without Borders (MSF, Médecins Sans Frontières) is an international, independent medical humanitarian organization operating in over 70 countries around the world. MSF brings essential humanitarian aid to the victims of armed conflicts, epidemics and natural disasters, as well as to communities excluded from access to health care. In our activities, we are guided by medical ethics and the principles of impartiality, independence and neutrality.
Since 2022, MSF has been offering emergency medical care to people trapped in the forested areas between Poland and Belarus. Our teams provide first aid for violence-related injuries, frostbite, hypothermia, and other health conditions resulting from prolonged exposure to harsh environments.

MSF’s Operational Center in Brussels operating in Poland since the outbreak of the war in Ukraine is looking for candidates for the following position:

Logistics/Supply Manager

We are seeking a committed, hard-working, and experienced professional capable of effectively combining both logistics and supply responsibilities in a dynamic humanitarian context. This role requires strong operational leadership, attention to detail, and the ability to manage multiple priorities under pressure. The successful candidate will play a key role in ensuring the continuity of supply and logistics services, particularly in support of emergency preparedness and cross-border operations.

Main Purpose of the position:

Planning, coordinating, and monitoring all logistics and supply chain activities in the project or capital, in line with MSF protocols and standards, to ensure optimal support to medical operations and smooth project implementation.

Main Accountabilities:

Ø  Logistics Accountabilities

·            Support planning and coordination of logistics activities in collaboration with medical and project teams.

·            Ensure smooth implementation of logistics operations in line with MSF standards and procedures.

·            Monitor logistics budget lines and collaborate with Finance for expense tracking.

·            Provide first-line technical support and escalate to HQ when needed.

·            Ensure proper setup and maintenance of office and accommodation facilities.

·            Implement safety and risk reduction measures (transport, fire safety, contingency planning).

·            Maintain secure and reliable communication systems across the mission.

·            Participate in coordination meetings and contribute to mission reporting.

·           Responsible of the Emergency preparation logistic capacity, integrated with med/ops strategy.

·            Responsible for the logistics aspects of exploratory missions / new sites of activity assesment.

·            Manage the car fleet, ensuring proper maintenance, documentation, and efficient use of vehicles.

·            Support Admin Transit at the PL-UA border, ensuring smooth logistics coordination for staff and goods movement.

·            Be responsible for the management, maintenance, and tracking of IT equipment across the mission, ensuring functionality, security, and compliance with MSF standards.

·            Coordinate with relevant technical support teams (HQ or local) for troubleshooting and upgrades when needed.

Ø  Supply Accountabilities

·           Act as a permanent auditor of the supply chain, monitoring supply processes, tools, and procedures, and proposing improvements as needed.

·           Ensure continuity and stability of supply activities during both regular operations and emergency interventions.

·           Process purchase requests in line with internal procedures, validation tables, and order planning protocols.

·           Encode logistics and medical purchase documentation accurately using MSF system.

·           Occasionally facilitate procurement and delivery of specialized goods for the Ukraine mission, ensuring compliance with MSF supply standards.

·           Handle postage of important documents, ensuring timely and compliant delivery.

·           Manage international shipments, including import/export procedures, customs documentation, and registration of humanitarian convoys at Polish customs.

Requirements:

Education: University degree or similar level of education in a relevant field (Supply, Logistics, IT is an asset).

Experience: Essential at least two years of working experience in logistics/supply related activities. Desirable previous experience with MSF or other NGOs.

Languages: Polish, English mandatory (at least B2).

Computer knowledge: Strong professional literacy in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) is essential for daily operational tasks and reporting. Familiarity with data visualization tools such as Power BI is an asset.

Personal skills: Problem solving attitude, analytical mindset, teamwork, commitment, high level of confidentiality, ability to manage multiple priorities under pressure.

Active driving license is mandatory, as the role involves regular field movement, fleet oversight, and coordination of transport-related logistics.

Workplace: Warsaw, with occasional travel to other locations in Poland and possibly Baltic countries

Desired date of start: January 2026

Length of contract: 12 months

Salary: 11 260 PLN gross/month
