Under the direct supervision of the Senior Programme Associate and overall supervision by the LMSI Programme Coordinator the successful candidate will be assisting in the Labour Mobility and Social Inclusion Programme implementation in Poland, in particular in the Warsaw Integration Center operation.

Responsibilities

  1. Assist in the Warsaw Integration Center (WIC) operation, in particular serving as a first focal point for the migrants at the WIC reception in person on everyday basis conducting migrants needs assessment, registering them for the relevant IOM services and referring them for assistance provided by other organizations/institutions, if needed.
  2. Assist in preparing, monitoring and evaluation of individual integration plans for migrants developed based on the migrants needs assessment.
  3. Identify vulnerable persons and support their referral to relevant protection services.
  4. Assist migrants with all the necessary information in order to facilitate their access to relevant services and navigate them in the Polish institutional and cultural context.
  5. Act as focal point for administrative coordination of the integration centre involving extensive liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, process and follow-up on administrative actions related to maintaining WIC space, ordering office supply and equipment, etc.
  6. Monitor budget; verify availability of funds; obtain necessary approval and update budget related information. 
  7. Draft correspondence on a project issues; prepare and update reports, briefing notes, graphics, statistical tables, presentation and other forms of documentation, set up and maintain files/records; 
  8. Request to complex information requests, set up and maintain files/ records, organize meetings, workshops, webinars, and training sessions for migrants.
  9. Support in translating during career counselling sessions, workshops also information materials/ documents and other needed information used for individual and/ or group activities.
  10. Ensure compliance and alignment with the Mission’s policies and procedures and especially with IOM’s Data Protection Principles.  
  11. Perform such other related duties as may be assigned.

Qualifications

EDUCATION

  • School diploma with five years of relevant experience; or,
  • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with three years of relevant professional experience

EXPERIENCE

  • Knowledge of the broad range of migration related subject areas dealt with by the Organization, especially knowledge on migrants and refugees adaptation process and social-economic inclusion
  • Knowledge of rights and obligations of Ukrainian citizens and their family members who fled the war in Ukraine to Poland
  • Knowledge of the migration law in Poland will be an asset
  • Familiarity with the Polish institutional system
  • Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; 
  • Experience in working in a multi-cultural environment
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Prior experience in a receptionist or administrative role will be an asset.
  • Experience in working in dynamic work environment and under pressure will be an asset.

SKILLS

  • Excellent communication (in person, online and on the phone) and organizational skills
  • Computer literacy in standard software applications especially Microsoft Office (fluency with Excel and Microsoft Forms)
  • Ability to work in a team, to manage multiple tasks, prioritize responsibilities, and maintain an organized workspace
  • Intercultural competence

LANGUAGES

  • Required:  PolishEnglishUkrainian and Russian
  • Desirable: Spanish
