Doctors Without Borders (MSF, Médecins Sans Frontières) is an international, independent medical humanitarian organization operating in over 70 countries around the world. MSF brings essential humanitarian aid to the victims of armed conflicts, epidemics and natural disasters, as well as to communities excluded from access to health care. In our activities, we are guided by medical ethics and the principles of impartiality, independence and neutrality.

MSF’s Operational Center in Brussels operating in Poland since the outbreak of the war in Ukraine is looking for candidates for the following position:

Admin Transit

Purpose of the position

The Admin Transit ensures the smooth coordination of staff movements between Ukraine and Poland, handling travel arrangements, transit support, and administrative processes in line with MSF standards.

Remuneration and basic conditions

Location: Poland – Rzeszów or Kraków
Contract type: Employment contract (umowa o pracę), full time
Working hours: Flexible, may include evenings, occasional weekends, and urgent situations

Desired date of start: July 2026

Length of contract: Till the end of 2026

Gross monthly remuneration: 9,800 PLN gross (full-time equivalent)

Key Responsibilities

-          Organize and coordinate travel (flights, visas, border crossings) for national and international staff

-          Ensure real-time follow-up and support to staff during transit

-          Arrange transport, accommodation, and logistics at transit locations

-          Liaise with external partners (airlines, authorities, service providers)

-          Handle administrative follow-up related to staff movements (documents, permits, records)

-          Support resolution of travel issues (delays, lost luggage, disruptions)

-          Maintain movement tracking tools and communication systems

Required Competencies

·       Experience in administration, logistics, or a similar role

·       Fluency in Polish and English (Ukrainian is an asset)

·       Strong organizational and coordination skills

·       Good computer literacy (MS Office)

·       Ability to work under pressure and adapt to changing situations

·       Valid category B driving license

Assets:

  • Knowledge of Ukrainian

·       Previous experience with MSF or other international NGOs

Working Conditions

The role may require flexibility, including irregular hours, depending on operational needs and staff movements.
